1. Introduction

The Heartland reporting system is extremely powerful. A big part of what gives it its power, when reporting on inventory/sales, is how you set up your items. Because of this Bricks & Minifigs give you the flexibility to do what you feel would help you and your store the best. There are only a few things that are required by Bricks & Minifigs.


2. Departments

When setting up heartland you will have/will make a custom field called “Department”. This is used by the franchise to determine sales metrics across the franchise and as a result, is standardized and not to be changed. Here is a list and breakdown of what is categorized under the different department custom fields:


  • New Sets: All NIB sets including retired NIB sets
  • Used Sets: Used sets as well as certified sets
  • Minifigs: Case figs, Ball figs, minifig maker, etc.
  • Bulk: All bulk items including premium sorted bulk


The only products that get listed in the New Set, Used Set, Minifigs, and Bulk Departments are LEGO® products that are produced by TLG, our primary market; more specifically, that will be LEGO sets, minifigures, and bulk. 

  • Aftermarket: All Items in your inventory that are from one of the approved Bricks and Minifigs Vendors such as Strictly Briks, BigKidBrix, BrickArms, SlabDreamLab, etc. or TLG authorized products such as storage heads, minifig display cases, backpacks, stationery and accessories, and so on.
  • Parties/Events: All parties, events, camps, etc.
  • Miscellaneous: All aftermarket products not from approved vendors, candy/food, etc. This is the catchall for anything that doesn't make sense above, or that tracking is not necessarily important to our stores.  Things that come in but are not re-orderable, can't be displayed as any of the above departments, or isn't from a typical vendor, is a miscellaneous product.  Pens, pencils, posters, books, clocks & watches, keychains, misc. storage cases* etc. are miscellaneous.


*Note that the Miscellaneous Department includes misc. storage cases and other items that are distributed by TLG or an official franchise wide vendor; this is for items that come in on trade or from an unofficial vendor, and not items that are sourced directly from Room Copenhagen or other franchise wide vendors.


There should only be the seven departments as of right now, and you should follow the general guidelines above to determine what items go in which departments. If you aren't sure which department an item should go into, reach out to @support on your PSC.


3. Categories

Another field required by the franchise is the “Category” field. This one isn't as standardized across the franchise, but here is what we suggest putting in it:

  • Have the aftermarket categories listed in the field for sorting aftermarket products

  • Have all the LEGO themes in the category field

  • Have specific category fields for miscellaneous item types you want to track (i.e. food/drink)

  • Have a "Retired NIB" category to see if you get more customers for older or current NIB



4. Other custom item fields

There are no other custom categories we require, but feel free to add categories as you see fit. For example, you may want a “series” custom field to figure out which series of minifigs sells the best from your minifigs case.
